The Dynamics 365 (and Power Apps) App for Outlook is a necessary thing.
The positives: It saves so much time when you work in Outlook all day and need to track stuff back to D365 or your Power Apps app.
The negatives: It’s a real chore to set it all up. Instructions from Microsoft and other blogs out there are so out of date, so here is my definitive guide to setting the damn thing up.
Step 1: Get It in Your Environment
Go to the Power Platform Admin Center and select Manage on the left rail.
Select your environment.
Go to the Resources menu at the top and select “Dynamics 365 apps.”
Click the “Open Appsource” button at the top.
Search for Dynamics 365 App for Outlook.
Click the “Get it now” button.
Select the environment to deploy it into. It’ll install. This will take a bit.
Step 2: Assign Permissions to the Users
For every user that is going to use it, go to Users in your environment, click the dots next to the user and select “Manage security roles.”
Assign the Microsoft Dynamics 365 App for Outlook security role.
Step 3: Configure the Dynamics 365 App for Outlook
Once you realize there is no option in either Settings or the Power Platform Admin Center, it all makes sense.
Go to your Dynamics 365 or Power Apps environment and click the app name next to Dynamics 365 or Power Apps. Click on the Dynamics 365 for Outlook app. ALL OF THE DEPLOYMENT SETTINGS ARE HERE.
Select the users you want to have the app and click the “ADD APP TO OUTLOOK” button.
Step 4 (Optional): Show Other Tables in the App
By default, the app only shows Accounts, Contacts and the default activity types (appointment, task, email). If there’s other tables or activities you’ll need to show, they’ll need to be added to the app.
Go to the maker portal in your environment (https://make.powerapps.com) and select your environment.
Open the Dynamics 365 App for Outlook.
Add the Dataverse table to the app. Uncheck the “Show in navigation” checkbox.
Save and Publish!
